Your Ideas Are Important to Us

Currently, when a resident sends an email to tavboardofdirectors@gmail.com, they receive an immediate automated response acknowledging receipt.  Where does it go from here?  The following is our process to manage all board emails received:

Jennifer Thommason (AAM Community Manager) reviews all emails coming into tavboardofdirectors@gmail.com and filters based on content.  

• Handles within 24 hours
• M-F, 7 am-3:30 pm
• Takes care of inquiries like home paint colors, common are landscape issues, and neighbor-to-neighbor complaints.

Jennifer forwards emails that don't fall into her domain to the appropriate Committee.

• HOA Board is copied on these for awareness
• Examples include capital improvement projects, issues with V's, financial questions.
• Emails specifically Board-related are sent to each Board member.

All Board emails received are recorded by Board Secretary.

• Summary is provided monthly to Board members.
• Trends are shown in the FAQ section on this site.

Jennifer follows up on status of responses back to residents.  

• For Committee and Board emails, commitment is to respond to residents within one week of receipt of the email.  
• Once received, Jennifer and/or Secretary of the Board record the results.
